Here's exactly how it works

From your instant quote to your car in the driveway, every step is transparent. Below you'll see the real emails we send and who gets notified along the way. You pay $0 up front; your card is only charged after we dispatch a vetted carrier.

The short version

Five things to remember — the sections below walk through each email and step in detail.

  1. 1Place your order. Get a quote, complete booking, and save a card ($0 charged until dispatch). You receive an order confirmation email with your order number.
  2. 2Get carrier and driver details on dispatch. When a vetted carrier is assigned, we email you (and your pickup/delivery contacts) a 5-step notice with carrier info, driver phone numbers, driver license and truck photos, and pickup verification instructions.
  3. 3Scan the secure QR code at pickup and document the car. At aaat.com/verify, scan the driver's dynamic QR before handing over keys. Take photos and video of every side before loading.
  4. 4Track your order anytime. Use the link in any AAAT email, or sign in at /accounts (tap Send Login Link) or check my order for live status, driver contact, map location, pickup photos, and invoices.
  5. 5Complete delivery on your tracking page. The delivery contact opens the same tracking link (no separate login), compares the car to pickup photos, documents condition, and taps Accept delivery — pickup QR verification is for the driver at pickup only, not at delivery.

Important notes

  • Never hand over keys without green pickup verification first. Always take your own photos and video at pickup and delivery.
  • Driver lost their QR text? Call us at 1-800-CAR-SHIP or go to /verify and enter your email and order number — we text every driver on the load a fresh pickup pass.

You start on our quote form. Enter the pickup and delivery locations, the vehicle, whether you want open or enclosed transport, and the first date the car is available. We instantly calculate a real market price, then email it to you so you have it in writing.

Step 2

Confirm your booking

When you're ready, you click "Complete my booking" in the quote email (or finish right on the site). That brings you back to your quote with the price locked in, where you add vehicle details, pickup and delivery contacts, and securely save a card.

  • 1Confirm details. Vehicle info, pickup contact, delivery contact, and your preferred dates.
  • 2Save a card securely. Card details are captured through Stripe. Nothing is charged today.
  • 3Book. Your card is only charged once we assign a qualified carrier and dispatch your vehicle.

Step 3

Order placed

The moment your booking is placed, your order is created and you get an order confirmation email with your order number, all the details on file, payment terms, and helpful resources to protect yourself at pickup and delivery.

Step 4

Carrier dispatched

Our dispatch team matches your order with a carrier vetted through our VS3 protocol. Once assigned, we send a 5-step "Carrier Assigned" email with pickup/delivery contacts, carrier and driver details, photos of the driver's license and truck (so you know who to expect), and step-by-step pickup verification before you hand over keys. Your saved card is charged at dispatch per the payment terms on your order confirmation.

The dispatch email goes to you and to any pickup and delivery contacts you provided (when they have an email on file). Separately, each assigned driver gets operational texts — see what the driver and carrier receive. Everyone can turn customer email notifications on or off from the tracking page.

Driver & carrier side

What the assigned driver and carrier receive

AAAT sends operational SMS only to the mobile number on file for the dispatched driver or dispatcher — typically a handful of messages per load, not marketing. See our carrier SMS policy for consent and opt-out (reply STOP).

At dispatch — pickup pass text

Each driver on the load gets a text with a secure link to their AAAT pickup pass. The message tells them to open the link and show the QR code to the customer before loading.

On the pickup pass page they see:

  • • A dynamic QR code that refreshes every few seconds (screenshots won't verify)
  • • Order number, pickup date, driver name, and carrier company
  • • Customer name, email, and phone
  • • Pickup address, pickup contact name, and pickup contact phone
  • • Delivery address, delivery contact name, and delivery contact phone
  • • Vehicle year/make/model, color, and VIN
  • • Driver cell number and, when enabled, a link to share live GPS

The QR opens aaat.com/verify on the customer's phone so they can confirm the driver, license, truck, and carrier before releasing keys.

If the driver lost the text or hasn't arrived yet

You (or your pickup contact) can re-send the pickup pass from aaat.com/verify by entering the email on the order and order number — we text every driver on the load a fresh pickup-pass link. No extra email to you; the drivers get the text directly.

After the customer marks "Load Picked Up"

When verification is complete and the customer taps Load Picked Up on the verify page, the driver receives an updated message with delivery details and an authorization notice so they know the handoff was recorded and can proceed to delivery. Customer contacts on the order get the picked-up email at the same time.

During transit — live location (optional)

Drivers may receive a text with a link to aaat.com/driver-location. If they tap Start Sharing Location and keep that browser tab open, their latest GPS pin appears on your tracking page. Sharing is voluntary — if the map is stale, you can tap Request updated location from driver on your tracking page and we text (and email) the driver to share again.

At delivery

The driver already has the delivery address and delivery contact phone from the pickup pass. They are expected to call or text the delivery contact before arrival to confirm the meeting time and place. We may send short operational reminders tied to that shipment (for example schedule changes or inspection steps) — always load-specific, never promotional.

Step 5

Vehicle picked up

The driver or dispatcher will call or text your pickup contact before they arrive to confirm the meeting time, where to meet the truck, and any gate or access instructions. Do not hand over keys until you complete AAAT pickup verification — the same steps in your dispatch email.

Do not release the vehicle until verification shows green.

If anything looks off — wrong carrier, truck, driver, or timing — call 1-800-CAR-SHIP before you release the car.

Pickup checklist (follow in order)

  1. 1Open aaat.com/verify on your phone (or tap Open AAAT pickup verification in the dispatch email). If the driver hasn't shown a QR yet, you can enter your order email and number on that page to text every driver on the load their pickup pass.
  2. 2Ask the driver to show the dynamic QR code on their phone (from the text we sent them). Scan it with your camera or the on-page scanner. No camera? Take a clear photo of the QR and upload it on the verify page.
  3. 3Wait for a green "Approved Pickup Driver" screen. Match the driver name, license, carrier, DOT/MC, and truck photos to the person and rig in front of you. If you see red, do not release the vehicle.
  4. 4Before loading, take photos and video of all four sides, roof, wheels, interior, odometer, keys, and any existing scratches or dents. You can upload them right on the verify page after approval — they also appear on your tracking page for delivery comparison.
  5. 5Do not sign the bill of lading until the pickup condition report matches your photos/videos. Save a copy after signing.
  6. 6Remove personal items, toll tags, loose accessories, and valuables. Leave only the keys needed to load and unload.
  7. 7After the car is loaded, tap Load Picked Up on the verify page (optional delivery estimate helps your receiver plan). That updates order tracking, sends the driver their delivery details and authorization notice, and triggers the in-transit email to everyone subscribed on the order.

The in-transit email confirms pickup verification is complete, lists carrier and driver contact info, delivery address and contact, and what to expect before drop-off. Pickup photos may go to the delivery contact separately when captured.

Step 6

Track anytime

Anytime — before pickup, in transit, or at delivery — open your portal from any AAAT status email, or sign in at /accounts and tap Send Login Link (same form at Check my order). Enter the email on the order; we email a secure sign-in link (expires in 30 minutes). No password needed — one portal for shipment tracking, documents, and paying invoices.

Finance contacts on the order can pay outstanding invoices or set up autopay directly from the portal when invoices are open. Dispatch and delivery contacts see shipment progress and documentation without needing separate logins — one email link covers everything tied to that address. If the map looks stale, use Request updated location from driver — we text the driver to share GPS again (see driver location sharing).

Step 7

Delivered

The carrier contacts your delivery contact directly with the exact delivery time and meeting location — they already have that phone and address from their pickup pass. Share these steps with whoever is receiving the car; they do not need a separate AAAT account if they are on the order as the delivery contact.

Delivery checklist (follow in order)

  1. 1Keep the delivery contact phone on and available — the driver will call or text before arrival.
  2. 2Before the driver leaves, open your tracking page (link in any AAAT email) and pull up the pickup photos/videos. Compare them to the vehicle in front of you, then use Accept delivery on that page when inspection is complete.
  3. 3Inspect in good lighting. Take your own fresh photos and video of all sides, roof, wheels, interior, odometer, and any new marks before signing anything.
  4. 4Compare the car to the pickup documentation and the bill of lading condition report. If the driver asks you to sign on a phone or tablet, read the screen first and make sure every issue is written on the delivery paperwork before you sign.
  5. 5If everything matches, accept delivery and keep a copy or photo of the signed delivery bill of lading.
Important: never sign the bill of lading if something looks wrong. Note the issue on the paperwork and call us at 1-800-CAR-SHIP before the driver leaves. You cannot undo a signature after they go.

After delivery is confirmed on your tracking page, we send a final delivery email with a link to order documents, invoices, and condition media. Any remaining balance can be viewed and paid from the tracking page if it was not already settled at delivery.
